Ordering and payment

How do I order?

Every product on this website can be ordered directly online. Choose your model, pick one of the upholstery finishes, and check out. There is no quotation step and no waiting for a price: what you see is what you pay. For five units or more, email us at info@headspastore.com and we will prepare a wholesale offer.

Which payment methods can I use?

Card, Bancontact, iDEAL, Klarna and bank transfer. Payment is processed securely by Stripe; we never see or store your card details.

When do I pay, and when do I get my invoice?

Orders are paid in full at the time of ordering. Your production slot is reserved and production starts once the payment has been received. Your invoice is issued digitally straight away, so you have it before production begins.

Are prices shown with or without VAT?

All prices are shown excluding VAT, because most of our customers are salons and buy with a VAT number. VAT is calculated at checkout based on your invoicing country.

I have an EU VAT number. Do I pay VAT?

No. Business customers in another EU member state with a valid VAT number are invoiced at 0% VAT (reverse charge, article 196 of Directive 2006/112/EC). Enter your VAT number at checkout and it is validated automatically.

Can I order without creating an account?

Yes. You can check out as a guest. An account only makes it easier to look up your order later.

Can I pay in instalments or on delivery?

No. Orders are paid in full when you order, by card, Bancontact, iDEAL, Klarna or bank transfer, and your production slot is reserved at that moment. We do not offer payment on delivery or instalment plans ourselves.

Can I lease or rent a unit?

No. We do not offer leasing, rental or financing. If you want to finance the purchase, your bank or a leasing company can do so on the basis of our invoice or a pro-forma invoice, which we send on request.

Delivery and lead time

How long does delivery take?

Every head spa unit is made to order in the finish you choose, so allow 10 to 12 weeks from order to delivery. We keep you updated by email at every stage. Tools and accessories are in stock and ship within a few business days.

What does shipping cost?

€199 per head spa unit, worldwide. Tools and accessories ship at €20 per item. The exact amount is shown in your cart before you pay.

Do you deliver outside the European Union?

Yes, we deliver worldwide. Deliveries outside the EU may be subject to import duties and local taxes. Those are payable by you, on top of the shipping cost.

What if my delivery arrives damaged?

Please inspect your delivery on arrival. Report visible transport damage within 48 hours by emailing info@headspastore.com with photos and your order number. Damage reported later than 48 hours after delivery cannot be attributed to transport.

Is the delivery address important?

Yes. Your unit arrives by freight, so the address needs to be accessible for a freight delivery. Additional costs caused by failed delivery attempts or inaccessible locations are payable by the customer, so let us know in advance if access is difficult.

Does the delivery go to my door, and can it go upstairs?

Delivery is to the ground-floor entrance of your address, on a date agreed with you. The carrier does not carry the unit inside, upstairs or into a lift. Plan the route from the entrance to the treatment room before you order: door widths, corridors and any steps. Every unit ships in a reinforced crate; ask us for the crate dimensions of your model if access is tight.

Can I collect my unit myself?

No. Every unit is built to order and ships directly from production to your address, so there is no warehouse to collect from.

Finishes and customisation

How many colours can I choose from?

42 upholstery finishes across our head spa beds, tables and chairs. A few models have their own, smaller range; the choices shown on the product page are always the ones that actually apply to that model.

Can I see the colours before I order?

Yes, and we recommend it. Screen colours are only indicative. Email info@headspastore.com and we send you free physical colour samples before you finalise your order. Minor differences in colour, grain or finish compared to screen images are inherent to made-to-order production.

Can I get a custom colour?

Yes, custom colours can be matched on request, also for a single unit. Email us with the reference you have in mind and we will tell you what is possible.

Can I have my own logo or a custom height?

Yes, from five units. Logo printing, colour adjustments and technical modifications are part of our wholesale programme. For fewer than five units, please order online in one of the standard finishes.

Water, power and installation

Does the unit need a water connection?

Our head spa beds, tables and chairs connect directly to your mains water and drain, like a basin. You need a standard water feed and a drain within reach of the unit. Portable basins run from their own tanks and need no fixed plumbing; the product page states which applies to that model.

Is there a pump or a heater inside?

No. There is no pump and no heater in the water path, which removes the parts that most often fail on other head spa equipment. Water flows through continuously, so you always work with fresh water rather than recirculated water.

What power supply do the units use?

All units are CE certified and supplied for 220V. If you are ordering from outside continental Europe, email info@headspastore.com before you order so we can confirm what applies to your country.

Where does the hot water come from?

From your own hot-water supply, exactly as for a shampoo basin. Nothing inside the unit heats water: the mixer taps on the unit set the temperature, and any supply that already serves a shampoo basin is enough. A full head spa ritual uses roughly 8 to 12 litres of warm water. The tank-fed Nagisa is filled from a tap.

Is used water ever recirculated?

No. Fresh water goes in through the arch or the spray, used water goes straight to the drain. On the tank-fed Nagisa, clean and waste water sit in two separate tanks.

What does my plumber need to prepare?

A hot and a cold water supply with shut-off valves and a drain within reach of the head end of the unit, plus one 230 V socket. The flexible hoses and drain connections are in the box. Placing the unit, connecting hot, cold and drain and plugging in takes a plumber about an hour. If you are not sure, send us a photo of the room and we check it with you before you order.

Can my own plumber install it, and does the warranty stay valid?

Yes. Any plumber can connect the unit with the manual that ships with it, and your warranty stays valid. Only the plumbing work itself is not covered by the warranty.

Is a stool included?

Most tables ship with a matching stool in the same finish: check the In the box list on the product page. The beds, the chairs, the Kogane and the Nagisa do not include a stool.

Do you offer training?

No. We sell the equipment; we do not run courses. Every unit ships with a user manual and a cleaning protocol, and our page Why a head spa walks through the ritual step by step. Head spa training is offered by academies and product brands in most countries; your product supplier is usually the best place to ask.

Warranty and support

What warranty do I get?

A 2-year warranty on every head spa unit, for salons and private customers alike, starting on the date of delivery.

What does the warranty cover?

Manufacturing and material defects in the frame and structural construction, the ceramic or acrylic basin, and workmanship.

What is not covered?

Wear parts and consumables such as upholstery, mattresses, hoses, seals, filters and shower heads. Electronic components are excluded unless they are defective on arrival, which you report within 48 hours of delivery. Also excluded: damage from improper use, incorrect installation or connection, lack of maintenance, damage caused by you or a third party, water damage from an incorrect connection, modifications or third-party repairs, and normal wear, discolouration or cosmetic traces of use.

How do I make a warranty claim?

Email info@headspastore.com with your order number, a short description and photos or video. If the claim is accepted we repair the product, send replacement parts, or replace the unit. Transport costs for warranty handling outside Belgium may be charged to the customer, and warranty handling never extends the original warranty period.

Do I need to register a serial number for the warranty?

No. The warranty is linked to your order and starts on the date of delivery. Keep your invoice; that is all we need when you contact us.

What support do I get after I buy?

Specialist support 7 days a week, before and after your purchase, by email at info@headspastore.com.

Returns and cancellation

Can I return a head spa unit?

Made-to-order units are produced specifically for you in your chosen finish and are therefore excluded from return. This is why we send free colour samples: it is much easier to be sure before production starts.

Can I cancel my order?

Cancellation before production starts is free of charge, minus payment costs. Once production has started, a 50% cancellation fee applies.

Do I have a right of withdrawal as a private customer?

Private customers have a 14-day right of withdrawal on stock items such as tools and accessories, provided they are unused and in the original packaging. Return shipping is at your expense. The right of withdrawal does not apply to made-to-order units, in line with article VI.53, 3° of the Belgian Code of Economic Law.

Wholesale and B2B

Do you offer wholesale pricing?

Yes. We work directly with the factory, so we can offer tiered pricing from five units. Email info@headspastore.com with the models and quantities you have in mind.

Can I resell your head spa units?

Yes. We supply resellers, distributors and salon chains, including private labelling with your own logo from five units. Email info@headspastore.com and tell us about your market.

What is the minimum order for customisation?

Five units for logo printing and technical modifications. Custom colour matching is possible on a single unit.

Can I visit a showroom to see a unit?

We are an online shop and do not run a showroom, which is part of why our prices are what they are. To help you decide, we send free colour samples and our specialists answer detailed questions by email 7 days a week.
